Topdraw terms.

1. About these terms

These terms apply when you access or use Topdraw, including the public website, account area, project directory, project workspaces, drawing register, project invitations, billing pages, invoice pages, receipt pages, and related services.

By creating an account, accepting a project invitation, uploading drawings, viewing drawings, managing a project, or using any Topdraw service, you agree to these terms.

2. What Topdraw does

Topdraw is a project drawing management service. It allows Project Managers to create project workspaces, invite project participants, upload drawings and revisions, control participant access, and track whether drawings and revisions have been viewed.

Topdraw is not a design consultant, contractor, architect, engineer, surveyor, certifier, insurer, or legal adviser. Topdraw provides software tools only.

3. User roles

Topdraw supports the following project roles:

  • Project Manager: the user who owns and manages a project workspace and its subscription.
  • Sender: a participant who can upload drawings or revisions where the Project Manager has granted that access.
  • Receiver: a participant who can view project drawings and revisions where access has been granted.

A participant may be a Sender, a Receiver, or both. The Project Manager controls participant access for their project.

4. Account registration

You must provide accurate account information and keep it up to date. You are responsible for protecting your login details and for activity carried out through your account.

You must not use another person's account, impersonate another person, or attempt to access projects or drawings that you are not authorised to access.

5. Close account policy

Topdraw uses a Close account process. Closing your account disables your access to Topdraw and revokes active sessions, but it does not immediately delete project records.

If you only participate in other people's projects as a Sender or Receiver, you can close your account at any time.

If you are a Project Manager and own one or more projects, you can close your account only when every active or completed-storage subscription you own has been cancelled or scheduled to cancel. You do not need to wait for the 90-day project retention period to end.

If you later sign up again with the same verified email address, Topdraw may reactivate your original account instead of creating a duplicate account. Your current name, password, company, and contact details may be updated during reactivation, but your original account identity, project links, billing history, and audit history may remain attached to the same account.

6. Project subscriptions

A Project Manager must have a valid project subscription to create and operate an active project workspace. Subscription charges, billing periods, payment status, invoices, and receipts are shown in the project subscription area.

Payment processing is provided through Stripe. Topdraw may store Stripe subscription references, invoice references, payment references, receipt references, hosted invoice links, hosted receipt links, and related billing event records.

7. Cancellation and project retention

If a Project Manager cancels a project subscription, the subscription normally remains active until the end of the current paid billing period.

After the paid period ends, the project may move into a retained or read-only state. Topdraw retains the project workspace for 90 days after the subscription ends so the Project Manager can resume the subscription where available.

After the 90-day retention period, Topdraw may permanently delete the recoverable project workspace data, including drawings, revisions, uploaded project files, invitations, and participant access. This cannot be undone.

Topdraw may retain limited internal billing, payment, accounting, security, audit, legal, and tax records where required or permitted.

8. Completed storage

A Project Manager may move an eligible project into completed storage where this feature is available. Completed storage keeps the project visible and allows existing drawings and revisions to be viewed, but the project becomes read-only.

New drawings, new revisions, new invitations, and participant management may be blocked while a project is in completed storage. Completed-storage subscriptions are billed separately from active project subscriptions.

9. Drawings, revisions, and project content

The Project Manager and authorised participants are responsible for the drawings, revisions, notes, names, addresses, files, and other content uploaded to or entered into Topdraw.

You must not upload unlawful, harmful, malicious, misleading, infringing, or unauthorised content. You must make sure you have the right to upload, share, view, and use any project content you add to Topdraw.

Topdraw does not check, approve, verify, certify, or guarantee the accuracy, completeness, compliance, safety, buildability, or legal effect of drawings or revisions.

10. Drawing access and viewed status

Topdraw may record drawing access events, revision view events, viewed status, timestamps, user identity, project identity, and related audit information.

Viewed status is provided for project coordination only. It does not prove legal notice, contractual acceptance, technical approval, professional approval, construction approval, or regulatory compliance.

11. Project invitations

Project Managers may invite participants by email. Invitation emails may be sent through Topdraw email systems and third-party email providers.

The Project Manager is responsible for inviting the correct person and assigning the correct Sender or Receiver access. Topdraw is not responsible for consequences caused by sending an invitation to the wrong email address or assigning the wrong access.

12. Availability and changes

Topdraw aims to keep the service available, but we do not guarantee uninterrupted or error-free operation. The service may be unavailable during maintenance, updates, incidents, third-party outages, hosting outages, payment provider outages, email provider outages, or events outside our reasonable control.

We may update, improve, suspend, restrict, or remove parts of the service where needed for security, reliability, legal compliance, product development, or operational reasons.

13. Billing records, invoices, and receipts

Billing information shown in Topdraw may include subscription status, invoice status, payment status, current billing period, invoice numbers, payment amounts, hosted invoice links, hosted receipt links, and related Stripe billing data.

Invoices and receipts may be generated from payment provider data. Topdraw may keep billing, invoice, receipt, payment, accounting, tax, audit, and security records after a project workspace has been deleted or an account has been closed.

14. Acceptable use

You must not:

  • try to bypass access controls or security controls;
  • access projects, files, or accounts without permission;
  • upload malware, harmful code, or malicious files;
  • interfere with the service or other users;
  • misuse invitations or impersonate another person;
  • use Topdraw for unlawful purposes;
  • attempt to copy, scrape, overload, or attack the service.

15. Suspension and restriction

Topdraw may suspend, restrict, or block access to an account, project, invitation, file, or feature where we reasonably believe this is needed for security, abuse prevention, payment failure, legal compliance, investigation, or protection of the service.

16. Data protection and privacy

Topdraw processes personal data as described in the Topdraw privacy policy. You should read the privacy policy before using the service.

Account closure and project deletion are not the same thing. Closing an account disables access. Project deletion follows the applicable project lifecycle. Some internal records may be retained where required or permitted.

17. Third-party services

Topdraw may rely on third-party services for hosting, databases, file storage, payment processing, email delivery, analytics, security, logging, and related operations.

Third-party services may have their own terms, privacy notices, technical limits, availability limits, and processing rules.

18. Liability

Topdraw provides software tools for project drawing coordination. To the fullest extent permitted by law, Topdraw is not liable for professional decisions, construction decisions, design errors, drawing errors, missed project updates, incorrect project access, incorrect uploaded content, or reliance on viewed status as legal or technical approval.

Nothing in these terms excludes or limits liability where it would be unlawful to do so.

19. Changes to these terms

Topdraw may update these terms from time to time. The updated terms will be shown on this page. If a change is material, Topdraw may provide additional notice through the website, account area, email, or another reasonable method.
